Is MacBeal a medico-legal agency?

MacBeal is NOT a medico-legal agency. MacBeal is a web-based interface that allows direct interaction between doctors and solicitors as well as between doctors and medico-legal agencies. (Medico-legal agencies are also called medical reporting organisations or MROs).

What is MacBeal?
MacBeal.com is a database driven website aimed at helping instructors find the right medical expert. It uses a search engine to allow an instructor to search for a medical expert using various criteria including profession and specialism, fees and payment length as well as distance from claimant (using a postcode distance finder). The expert CV, sample report and expert Terms and Conditions are also supplied to facilitate selection. MacBeal provides available appointment slots with the chosen expert for instant online booking. And, finally, to allow fast and secure exchange of information, MacBeal also offers an online document exchange facility which allows instructors to send instructions securely and also allows experts to send medico-legal reports securely.
Why has MacBeal been developed?
The service has been designed to meet the growing requirement of solicitors, insurers and MROs to have clear lines of communication and direct and instant access to medical expert profiles and their availability for medico-legal appointments.
How is MacBeal different to other methods of obtaining a medico-legal report?

For an instructor, there are many challenges associated with obtaining medical expert opinion. Finding the right medical expert with the right specialism who is within a reasonable distance to a claimant and has an available appointment is a time consuming task.

On the other hand, one of the major issues faced by medical experts is to market themselves, their expertise and their available time to instructors across the country. MacBeal puts a medical expert on the map for instructors nationwide.

MacBeal helps save time and resources not only through the quick ‘search and book’ functions but also through its safe and secure electronic document exchange service. This allows two-way instant communication between MacBeal members.

How does MacBeal make money?

MacBeal is a subscription based business. We offer our services to medical experts at a low monthly fee per user. We also charge a low booking fee for each appointment that is booked by an instructing party via the MacBeal online booking system.

MacBeal is a free service to solicitors.

Our subscription charges and booking fees are low because there is little or no intervention required from MacBeal staff to help the instructors and experts get on with their business via the online services provided on MacBeal website.

How do I dictate with MacBeal Transcription?
You dictate your report into a digital recorder in a similar manner as you would dictate into a hand-held mini-cassette recorder. Then you attach the recorder to your computer and our voice capture software will automatically send your dictations securely to our transcription centre via the internet. 24 to 48 hours later, you can download your dictated documents by logging in to our DocManager website. You can save the downloaded document, edit and print it using Microsoft Word or undertake other tasks with it. It is very easy.
How much does MacBeal cost?

Medical Experts are charged £9.95 per month per user with a £1 booking fee for each appointment they receive from an Instructor via the MacBeal online booking system. (VAT is added to the prices quoted here). To make it attractive, MacBeal is offering a free trial to new members.

For Solicitors the free MacBeal service provides massive savings on a per report basis against going via other avenues and doing the legwork internally. Also, the instant online booking feature saves significant time in obtaining an appointment for a claimant.

How does a free trial work?
MacBeal offers free trials from time to time to new Medical Experts joining MacBeal. During the free trial period, we will waive your subscription charges and we will allow you to receive the first appointment booking free of charge. You will have access to all other services such as MacBeal Message & Document Exchange and the Report Manager.

We will, however, charge the Expert a booking fee of £1 for each additional appointment booked during the trial period. We will also charge you for any other chargeable services but you will be informed beforehand about such a charge so that there is no surprise. Please see PRICING for more details.

Please note that during the free trial you are bound by the Terms of Use of MacBeal. You are required to honour any appointments booked or other commitments undertaken during the trial period.

The free trial is available only once per member.

Is there a minimum length of time to which I have to commit to MacBeal?
There is no minimum length. We do, however, require two calendar months notice in order to ensure that there is no misuse of our services. Please note that all appointments booked will be binding even after termination of MacBeal membership.

It is our aim that every user stays with MacBeal on a regular basis so that all members can enjoy a low monthly subscription fee. We incur administrative costs to activate the account of every new MacBeal member. Hence, a ‘reactivation fee’ of £25 plus VAT will be charged for returning customers.

Do you have a referral scheme in place for if I was to refer friends or colleagues to MacBeal?
For every person that you refer to MacBeal or MacBeal Transcription and who stays with MacBeal for three months as a paying member, you will either receive 10% off your next MacBeal – medical experts DIRECT invoice. Or you can get a 5% discount on your next MacBeal Transcription invoice. This is a rolling discount and there is no limit as to how many people you can refer. For every successful referral, we will make a note in your account and apply the discount for as many months. It is possible to receive a discount every month!

Please note that we do not offer referral discounts for new MacBeal users who join MacBeal under an existing MacBeal Licence Code. Referral discounts are earned for each ‘new’ account that you bring to MacBeal. For more details, please see our Terms and Conditions in the Legal Info section.

What is a Beta?
At MacBeal, a beta is an application or service that is being tested in real-world environment by regular users. MacBeal.com was programmed and tested before the beta release, but as with all new software or web application, there is still the possibility of improving on the initial release. During the beta phase, we ask the MacBeal users to sign up and experience the different features of the MacBeal website. We use the suggestions and feedback provided to us to help ensure that our service is the best possible when it is updated and finalised.
What is a MacBeal Licence Code?
Every MacBeal account holder is assigned a unique MacBeal licence code. The account holder can decide how many users they would like to provide access to MacBeal under their licence code.

For example, if a doctor wants to use MacBeal and also wants to allow his/her medico-legal secretary to have access to MacBeal, then the doctor will subscribe for 2 users under the MacBeal licence code.

Similarly, if a partner in a law firm wants 2 other solicitors and 2 paralegals or legal secretaries in the firm to have access to MacBeal, then the partner will pay subscription for 5 users under his or her MacBeal licence code.

What is the benefit of having several users under one MacBeal licence code?
A MacBeal licence code determines a group of MacBeal users who belong together. By working under one licence code, it is possible for MacBeal to generate reports about the activities on MacBeal for the whole group of users operating on MacBeal under one licence code.

Also, invoicing becomes easier to paying members. We furnish one invoice for each MacBeal licence code. So in the case of a medical practice with several MacBeal users under one MacBeal licence code, we will issue one monthly invoice for the services utilised by the whole group of experts in that account.

What is MacBeal ID (MID)?

Each Expert and Solicitor MacBeal member is assigned a unique MacBeal ID (MID) number. The MID of a Solicitor starts with an "S" and that of an Expert starts with an "E". MID helps to look up a MacBeal member quickly and also helps to distinguish between members with same name.

How does MacBeal Report Manager work?
All appointment bookings, cancellations or reschedules are captured on the MacBeal Report Manager. Each MacBeal user (i.e. each doctor or instructor) can view their account activity on the Report Manager. In addition, the main MacBeal account holder can view the account activity of all the users operating under his or her MacBeal Licence Code.

It is possible to export and download a report from MacBeal onto the user’s computer as an Excel spreadsheet. This allows the user to sort, slice and dice the account activity report as required for their internal purposes.

How does MacBeal Document Exchange work?
Sending a normal email message is like sending a postcard over the post. Anyone can read the postcard while it is on its way. Similarly, anyone who intercepts your email while it is moving through the internet can read its content and attachments.

To allow you to be compliant to the Data Protection Act 1998 and to keep the information about claimants confidential, MacBeal enables its members to send and receive messages and documents securely.

To maintain security, MacBeal keeps a message or document for 14 days only after it has been sent. We require MacBeal users to read or download documents within a fortnight. Once the 14 days have passed, the message expires and the attached documents are deleted from the MacBeal system. MacBeal only maintains the subject line of the expired messages and the name and size of the attached documents of an expired message. This allows you keep a record of what was sent or received via MacBeal Document Exchange.

Please note that MacBeal accepts no responsibility for ensuring the delivery of a message or document in case of any rare technical fault - as can happen with any delivery system. MacBeal accepts no liability for any problems that arise from viruses or malware that comes through a document received via the Document Exchange System. Please ensure that you have adequate virus and malware protection on your computer.

How will I be shown how to use MacBeal? Do I have to be good with computers and the internet to use MacBeal?
MacBeal has been designed to be operated by users with minimal exposure to IT. Visit our homepage and run through our flash video training modules to see just how simple it is to use MacBeal. This will explain the different functionalities within MacBeal and if you have any further questions that are not answered on here or on the training video please email them to support@macbeal.com
Do you offer training?
Yes, we offer training on MacBeal via a video tutorial that can be found on the MacBeal homepage. If there is any other question please go through the FAQ section of the website where you may find an answer. Failing this please send an email with your query to support@macbeal.com and we will attempt to respond to your query as soon as possible. There is no charge for responding to any queries sent via email to MacBeal.
Can I get one-to-one training on MacBeal?
Yes, and it is free till further notice. (One-to-one training is available on MacBeal and is otherwise charged at a rate of £5 per time unit + VAT and is billed at a minimum of 30 minutes of use. One time unit equals 6 minutes.) To organise such training, MacBeal staff will agree an appointment time and date for a telephone training session. The customer will be asked to sit in front of their computer that is connected to a fast internet connection. During such a session, the customer will be shown the functionalities and services on MacBeal and will be helped out with all the queries. We also offer flash video tutorials on our website which can be viewed free of charge.
Does MacBeal offer support for its members? Can I get personalised support on MacBeal?
You can contact MacBeal customer services staff by calling our telephone number. We do request MacBeal members to watch the training tutorials before contacting MacBeal by phone. Telephone support is currently free. (Otherwise, if we are requested to undertake activities that a MacBeal member can undertake themselves on the website, then we do charge for that service at the rate of £5 per time unit plus VAT. One time unit equals 6 minutes.)
Why do you need my credit or debit card details even though I am going to be on a free trial?
Every new medical expert and solicitor is vetted by MacBeal - even when they join MacBeal for a free trial. Part of the vetting process includes checking of payment details against the name and address provided by a new MacBeal member. Hence, we need your credit or debit card details. We will not charge your card during the free trial period for availing the free services. If you decide to discontinue using MacBeal during the free trial period and you have not utilised any chargeable services, then there will be no charge. It is as simple as that.

It is our aim to mitigate fraud and to ensure that all MacBeal users are authentic in their purpose of joining MacBeal. Requiring a valid credit or debit card is intended to decrease the likelihood that malicious users will sign up. We also require a credit or debit card to facilitate payment of chargeable services availed during the free trial (for example, booking of more than one appointment via the MacBeal online booking system draws a booking fee. Also, if you use any other service like one-to-one training etc. we will need your card details to charge you for such services). At the conclusion of the free trial period, if you decide to continue using MacBeal, then there will be continuity as your payment method would have been established already and we can put you onto our monthly subscription payment process. You will be able to continue using our services without interruption and without having to submit additional account details.

What payment methods are accepted on MacBeal?

MacBeal accepts VISA or MasterCard credit cards as well as VISA electron or DELTA debit cards as well as Switch and Solo. We generally do not accept any other form of payment, as our goal is to minimise our costs of doing business in order to pass the savings onto our customers.

For MacBeal Transcription, we also accept cheques.

Are my credit card information and password safe?
When highly confidential information (such as a credit or debit card number or password) is transmitted over the internet, MacBeal protects it through the use of encryption, such as the Secure Socket Layer (SSL) protocol. Encryption is the process of encoding data to prevent unauthorized access, especially during transmission. Encryption is usually based on one or more keys, or codes, that are essential for decoding, or returning the data to readable form.
How do I change my payment details?
Please call MacBeal and we will provide you further instructions about changing the payment card details.
What kind of security measures has MacBeal taken to protect my confidential information?
From the moment you are required to provide your user name and password, MacBeal starts using a secure and encrypted internet connection. This ensures that an unwanted third party cannot eavesdrop and read the actions being undertaken on the MacBeal website. We run our website on dedicated servers that operate in a secure environment where no unauthorised persons are allowed access. Our servers are housed by a service provider that also operates servers for the NHS and has very high standards of security. To protect ourselves against hackers, our servers operate behind a firewall.
How is my data on MacBeal protected against system failures?
MacBeal uses redundant hardware and software systems to protect against system failures. We use servers with RAID, which stands for Redundant Array of Independent Disks. This is a category of disk drives which utilizes two or more hard drives in order to ensure that data is stored safely. On our RAID server the data is mirrored. This means that the data is written to two drives simultaneously. This ensures that all data is duplicated on both drives, and if one drive fails, the other will still have a backup.
Does MacBeal comply with the Data Protection Act?
All services offered on MacBeal are compliant to the Data Protection Act 1998.
What are the future plans of MacBeal?
There have been advances in internet technology from which the medico-legal industry can benefit. MacBeal aims to use internet and business process improvements to help the professionals and other stake-holders in the medico-legal industry conduct business more efficiently. We are changing the industry paradigm. We plan to expand our services. In due course, we will announce the introduction of new services.
 
FAQs posed by Medical Experts
 
How are the solicitors vetted on MacBeal?
The solicitors are vetted by cross referencing with their law society, by calling their referees and where necessary by obtaining a letter from their law-firm.
Can other medical experts see my information including payment details?
No. Other medical experts do not have access to any information about the fees or payment terms of any other medical expert via the MacBeal website. Other medical experts will also not have access to your profile page, your sample report or your CV or your Terms and Conditions.
Are a minimum number of clinics required to use MacBeal?
You can use MacBeal provided you have at least one medico-legal clinic. Failing to put at least one clinic location will mean that your profile will not be visible to instructors and you will not get any medico-legal instructions through the MacBeal online booking system.
Do I have to offer medico-legal appointments to be on MacBeal?

You do not need to offer appointments to be on MacBeal as a medical expert. But it is likely that other experts who do offer appointments will get instructions through the MacBeal online booking system.

Can my secretary use MacBeal on my behalf?
Yes. For a medical expert it is possible to allow one or more medico-legal secretary to access their account.

The medical expert is responsible for the actions that are undertaken on their behalf by their secretary.

Can I change my clinic details and schedules at a later date on MacBeal?
Yes. It is possible to change clinic dates, locations and other such information related to an expert’s medico-legal clinic. Please see the flash video tutorial for more details.
Does everyone have to comply with the Terms and Conditions that I have posted on MacBeal?
Your Terms and Conditions are posted on MacBeal so that an instructor who is instructing you for the first time can do so right away. You can agree to other Terms with certain instructing parties such that those other terms override the Terms and Conditions you have published on MacBeal.
To whom do I send my medico-legal report?
You send the medico-legal report to the person that instructed you. MacBeal does not act as an intermediary. You are working directly with the instructing party.
Who is responsible for my fees?
A booking on MacBeal constitutes a binding agreement and the ultimate responsibility for this lies with yourself and the instructing party. The instructing party is responsible for your fees unless you agree otherwise with that instructing party.
Can my secretary use MacBeal on my behalf?
Yes s/he can. We do recommend that you allow your medico-legal secretary to have a separate user name and password. This way you will have the option of defining her access rights to your account.
Can MacBeal act as a substitute for a secretary?
No. MacBeal is not a substitute for your medico-legal secretary. We do offer you the benefit of marketing your medico-legal practice and, depending on the size of practice, a secretary will be able to support you more efficiently with MacBeal as a tool to market and manage your medico-legal examination appointments.
Can I accept medico-legal instructions via MacBeal?
Yes. Please note, however, that MacBeal accepts no responsibility for ensuring the delivery of the instruction letter in case of any rare technical fault as can happen with any delivery system. MacBeal accepts no liability regarding the legality of instruction letters as a binding agreement when sent via electronic means.
Can I send medico-legal reports via the MacBeal secure document exchange system?
Yes. Please note, however, that MacBeal accepts no responsibility for ensuring the delivery of the report in case of any rare technical fault - as can happen with any delivery system.
Can I still accept instructions from elsewhere after I join MacBeal?

Yes. MacBeal makes no effort to stop you continuing to accept instructions from any other sources.

Do I loose the appointment slots that I have posted on MacBeal?

No. Once you have posted any appointment slots on MacBeal they still belong to you. If you want to use any of those appointments yourself, you still can, provided they have not already been booked by an instructing party.

I charge a different fee for a solicitor in comparison to an MRO – how does MacBeal cater for that?
MacBeal allows the entry of two fees and payment terms during the sign up. A solicitor that searches will see your fees and terms for a solicitor only. An MRO will see your fees and terms for an MRO only.
What do I need to start on MacBeal?
To start on MacBeal you need to have a few documents ready, the necessary information about yourself including your clinic addresses and a method of paying. The required documents are:

How do you vet the experts on MacBeal?
The experts on MacBeal are vetted by a cross referencing of their GMC number (or BPS in the case of Psychologists), their medical insurance details and their payment details. During sign up, we require the experts to provide us names of two referees. We also contact those referees and get their feedback on the expert.
Do I have to use the experts on MacBeal?
MacBeal has a constantly growing panel of experts who have a variety of experience and specialisation. But if you are missing certain experts that you have experience with and whom you would like to see included as panel members on MacBeal, then either recommend those experts to join MacBeal or provide us with their details and we will be happy to invite them on board so that you can have the convenience of booking appointment slots for your claimants with them online.
What if I can’t find the right expert on Macbeal?

We are continually adding new experts to the MacBeal panel. Any such endeavour requires time. If you draw a blank with a search for an expert then please send us an email detailing the search to search@macbeal.com or you can send us a fax with your request. We will endeavour to find and add an appropriate expert to the MacBeal panel as soon as possible. If you know medical experts whom you would like to see included as panel members on MacBeal, then either recommend those experts to join MacBeal (you will get a referral discount) or provide us with their details and we will be happy to invite them on board so that you can have the convenience of booking appointment slots for your claimants with them online.

In case you need immediate help, we do have a service whereby we will find up to three experts for your search for a fee of £49 + VAT. To proceed with such a search we request you to send us a fax using your firm’s stationery and detailing your requirements and also stating that you agree to our reasonable fees. Upon receipt of such a fax, we will start the search and provide you the names of up to three experts that suit your needs.

How does expert information stay up to date on MacBeal?
Expert information stays up to date by the experts having the ability to edit any of their personal and professional information and being encouraged to do this on a periodic basis. When viewing the expert profile, the instructor can see the date when the expert CV, the expert sample report and the expert terms and conditions were uploaded on MacBeal.
Can my secretary/case handler use MacBeal on my behalf?
Yes. For a medical expert it is possible to allow one or more medico-legal secretary to access their account. Similarly, a solicitor can allow several case-handlers to access his or her account and send instructions on behalf of the solicitor.

Both the solicitor and doctor are responsible for the actions that are undertaken on their behalf by their secretaries or case-handlers.

What do I need to start on MacBeal?
To start on MacBeal you need to have the necessary information about yourself and a method of paying. The necessary information required is
Your registration number with your Law Society or with ILEX.
If you are not registered with a professional body then we require a letter from your law-firm stating that you are a fee earner and that you may instruct experts on behalf of your firm.

If your firm is based in England & Wales, then we require your law-firm ID number with the Law Society of England & Wales.

Why do you offer transcription services?
Medical experts can find the typing of medical reports to be a problematic issue. Experts can wait for several days and even weeks before receiving the dictated report from the typist. This leads to delays in the receipt of a medico-legal report by an instructing party. MacBeal has joined forces with a leading digital transcription centre that transfers the dictations of an expert via a secure internet connection and the dictated report is transcribed and returned within 48 hours with a 99% accuracy rate. MacBeal Transcription gives the expert cost savings typically in the region of 50% to 70% versus the cost of part-time typists.
Why is Macbeal Transcription so cost-effective?
We employ highly trained medical transcriptionists in our transcription centres and we have an industrial approach to business. We do not employ home-based typists. Our communications and data-transfer processes are secure and internet based. The result is high quality and a low unit cost that we pass on to you.
Is there a minimum volume of work required to use MacBeal Transcription?
There is no minimum volume of work as such but there is a subscription charge of £9 per month for MacBeal Transcription in order to cover fixed costs. If you conduct more than £100 worth of transcription within a calendar month, we will waive the subscription charge for that month.
How much does it cost to have a report transcribed by MacBeal Transcription?
Unlike most transcription companies in the UK, MacBeal Transcription charges on a per line basis rather than on an hourly basis. This ensures that you are charged for the actual transcription rather than a rounded up hourly rate. A line is defined as 65 characters. We charge 8p per line. Our customers typically save 50% or more when using MacBeal Transcription instead of recruiting a part-time typist.
What equipment do I need for MacBeal Transcription?
You need a digital recorder, a computer with Windows 2000 or above, Internet Explorer 5.5 or above and a fast internet connection. Digital recorders have become inexpensive over the years and are rapidly substituting hand-held mini-cassette recorders.
Do I need a technician to install software on my computer?
We will do that for you. We will install the voice capture software into your computer remotely via the internet with your permission and during your presence next to your computer. It is a quick and easy process and requires no technical expertise from you.
How do I dictate with MacBeal Transcription?

What is DocManager?
This is a web-based service on which we store your transcribed documents, whereby all documents are date and time stamped. It has a simple user interface and is so easy to use that most users do not require any training. In our experience, a novice to the internet requires DocManager to be explained just once to understand its functions.
How long does MacBeal Transcription store my transcriptions for?
We currently do not have a set period. So you can keep the files on DocManager for as long as you like. As all documents on DocManager are date and time stamped, it is easy to locate and retrieve a dictated document several months later. DocManager helps you to store documents securely at a central place.
What quality measures does MacBeal Transcription have in place to ensure that the target of 99% accuracy is achieved?
MacBeal Transcription offers very high accuracy in all reports and documents that have been dictated according to our Good Dictation Guidelines. There is a three step quality assurance process. The transcribed reports and documents are checked for spelling errors, omissions, correct medical terminology and formatting. The output is a sustainable accuracy of 99%.
Is MacBeal Transcription an alternative to hiring a secretary?
As a medical professional, you can dictate on a digital recorder, upload your dictated files and download completed documents within 24 to 48 hours. If that is all you need, then we can be of help to you. But for a growing medical practice, the administrative tasks can best be undertaken by a competent secretary. Several medical professionals recognise that obtaining quality outsourced transcription can free up the time of the secretary to conduct tasks that are more valuable for the growth of a medical practice.
What are the service levels of MacBeal Transcription?
MacBeal Transcription is available 24 hours a day and 7 days a week. You can dictate anywhere and upload anytime. Reports are transcribed and delivered to your DocManager account within 24 to 48 hours during normal working days.
Is MacBeal Transcription compliant to the Data Protection Act 1998?
All information is controlled by our data centre. Every file is encrypted before it is moved from you to our transcriptionists and back. Automated and manual check points ensure that no file is 'left behind'. All encryption is a minimum of 128 bit SSL (Secure Sockets Layer) which is the same security standard as used for credit card transactions.
What quality assurances do you have in place?
Our transcriptionists usually have several years of experience and must consistently meet skill audits and assessments. Our transcription centres continuously train new and experienced transcriptionists to maintain a continuous supply of quality staff. Newly trained transcriptionists are mentored by experienced transcriptionist.
Where can I procure a digital dictation device?
