Overview

MacBeal transcription centres maintain a multi-layered security system to comply with the UK Data Protection Act and the more stringent US HIPPA guidelines.

We treat personal information securely and confidentially. We limit access to personal information to only those employees who need to know that information to provide support services to our customers. These employees are trained on the importance of safeguarding this information and must comply with our procedures and applicable laws.

Strict physical, electronic and procedural security standards are employed to protect personal information and maintain internal procedures to promote the integrity and accuracy of that information.

Data Transmission and Storage
All data is sent to and from the transcription servers via a 128bit SSL encrypted transmission and the service operates using a Virtual Private Network (VPN) with strong encryption (DES-3).
We use dedicated server for the transcription service.
The servers sit behind a password protected hard firewall.
Customer access through the Internet is secured with SSL log-in ID and password.
VPN components are configured for 168-bit encryption.
Every employee with access to the system must sign confidentiality agreements.
Employee access is regularly audited and reconciled.
Every dictation and document is tracked throughout the system to ensure proper handling and delivery.
Patient sensitive information is systematically purged from data systems and employee workstations.
Periodic backup of all data is undertaken to minimise loss.
 
Data Confidentiality
All transcriptionists have signed a data confidentiality agreement as per the UK Data Protection Act or more stringent equivalent.
Any transcription is visible to the allocated transcriptionist and the doctor from which it originated only.
Once the transcriptionist has finished the document, the task is entirely removed from their system.
All voice files are streamed and not stored on the computer they are streamed to.
   
MacBeal Transcription can be operated using a browser based system and so does not need to integrate with existing computer networks. This means that there is no need to integrate security requirements.

MacBeal Transcription may find it necessary to revise and update its Data Protection Policy from time to time as changes to the regulations emerge and post any such changes in the form of a date stamped replacement document in this location.
